Operations Assistant

Enchanted Celebrations is in search of a creative and detail-oriented individual who has an interest in learning about how Enchanted Celebrations operates as a company. The ideal Operations Assistant is a hard-working and detail-oriented individual. They should possess excellent verbal and written communication skills and an interest in the wedding industry.

Job Description

This Full-Time position trains the individual to handle all aspects of operations. This includes gear coordination with independent contractors for events, quality assurance, policy reinforcement and general communication with independent contractors, planning calls and general customer assistance. The Operations Assistant will report directly to the Director of Operations and will be responsible for assisting the Director of Operations in various day to day tasks.

Responsibilities

Customer Service

  • Ability to clearly answer client questions
  • Resolves client complaints and can determine the cause of problems in a positive manner
  • Has high problem-solving, analytical, and customer service skills
  • Must be able to work in a high stress level environment with unreasonable clients while remaining structured, calm, professional, and positive
  • Comfortable with phoning customers and weekend staff in regards to wedding  planning, staffing, and equipment logistics
  • Organize and execute all aspects of client-based contractual obligations  
  • Maintain a high degree of positive customer satisfaction during all client interactions
  • Execution of wedding planning phone calls with clients and expectation management

Event Coordinator Assistance

  • Ensure all staffing and gear is coordinated in accordance with each client’s contract
  • Assure that there is a schedule and coordinate all staffing for the manager on call program
  • Act as manager on call on assigned weekends
  • Perform research on client complaints and present to the Operations Manager
  • Respond to advertising storefronts administrative regarding any negative publicity

Production Duties

  • Perform regular quality assurance checks on all productions orders
  • Regularly keep track and monitor garage inventory and equipment
  • Prepare and send out mail for clients

General Administrative Duties

  • Keep company CRM systems up to date at all times   
  • Adherence to all company policies and procedures  
  • Assist the Operations Manager, Director of Operations and Executive Director in general functions, strategy as needed.

Qualifications

  • Bachelor’s Degree
  • Customer Service experience
  • Strong writing skills 
  • Excellent communication and organizational skills
  • Proficient with basic computer skills
  • Must have a positive attitude
